Varian's Matching Gifts and Dollars for Doers Program was created to encourage our employees to actively support nonprofit organizations in the communities where Varian operates. This program offers Varian employees the option to support their community through monetary contributions and as volunteers on their own time, or a combination of the two. Monetary contributions are matched dollar-for-dollar. Varian matches volunteer hours in increments of two hours, by contributing $10.00 per hour for every volunteer hour completed by a Varian employee.
Eligibility
All regular, full-time employees can request the Company to match up to $600.00 per year through direct monetary contributions, volunteerism on their own time, or a combination of the two.
Eligible Organizations
Nonprofit organizations and institutions that hold a tax-exempt status under Section 501(c)(3) of the Internal Revenue Code. Nonprofits may be classified as cultural, social service, environmental, health, or disability-related.
Ineligible Organizations
- Any religious, political, or veteran's groups
- Private foundations or organizations that promote a hobby
- Membership-based organizations (fraternities, sororities, booster, or social clubs)
- Organizations having discriminatory practices or whose philosophy/mission may conflict with the Company's policy, could cause negative publicity or that do not serve the community
Corporate Dollars Match Rules
- Minimum cash amount matched per employee: $20.00
- Minimum volunteer hours matched per employees: two hours
- Maximum dollar amount matched per employees for cash/volunteer hours annually: $600.00
- Match is dollar-for-dollar and $10.00 per hour for volunteer hours
- Monetary contributions must be made via cash or check to be eligible for matching gifts
- All matched gifts are paid quarterly, within 30 days following the end of each quarter
- Note: No goods or services may be received by the employee, the employee's family or other designated individuals in exchange for the solicited matching gift. These goods or services include gifts, tickets, memberships, or products.
Matching Gifts Program Administration
Varian sets aside a maximum annual contribution level for the Matching Gifts and Dollars for Doers Program which may be included in the overall Charitable Contributions Program budget. Requests will be accepted on a first-come, first-served basis until the program's fiscal year limit is reached. Varian's fiscal year runs from October 1 through September 30.
Varian reserves the right to amend, suspend or terminate its Matching Gifts and Dollars for Doers Program at any time without prior notice. The interpretation and administration of this program is determined by the Charitable Contributions Program Committee and their decisions are final.
Submittal Process
The Varian employee downloads the Matching Gift/Dollars for Doers Form from the Varian Intranet and completes Section A, then submits it along with their donation or at the time of the volunteer activity to the nonprofit recipient. It is the nonprofit's responsibility to complete Section B of the Matching Gift/Dollars for Doers Form and send it to Varian's Charitable Contributions Committee for processing. Forms that are incomplete or incorrect will not be processed and will be returned to the employee. Requests must be received by Varian within 90 days of receipt of contribution or completion of volunteer activity to be eligible for matching. Organizations must provide a copy of their 501(c)(3) tax exemption letter with their request in order to receive a matching contribution.
